SchoolDesk is operated by SchoolDesk, Rajkot, Gujarat, India. We are responsible for the personal information processed through our website and, as a service provider, we process information on behalf of the schools and institutions that use the Service.

2. Information We Collect

Information you provide

• Institution & account details — school name, contact person, email, phone number and related registration information.
• Communication data — messages, notices, homework, circulars, reports and other content you send or receive through the Service.
• Contacts — names and phone numbers of parents, guardians, students and staff that an institution uploads to communicate with them.
• Payment & fee data — fee records, transaction references and receipts generated through fee-collection features (card and bank details are handled by our payment processors, not stored by us).

Information collected automatically

• Usage data — log data, device and browser information, IP address, and interactions with the Service and website.
• Message status — delivery and read status of messages, used to provide reporting and analytics to institutions.

3. How We Use Information

• to provide, operate, maintain and improve the Service;
• to deliver communications, reminders, receipts and reports on behalf of institutions;
• to process fee collection and generate receipts and records;
• to provide customer support and respond to enquiries and demo requests;
• to monitor, secure and troubleshoot the Service and prevent misuse;
• to comply with legal obligations and enforce our terms.

4. WhatsApp & Meta

The Service uses the WhatsApp Business Platform provided by Meta Platforms, Inc. to deliver messages. When messages are sent or received through WhatsApp, they are also processed by Meta in accordance with Meta's and WhatsApp's privacy policies and terms. We use WhatsApp only to send communications that institutions are authorised to send and for which the necessary consent of recipients has been obtained. We do not sell personal information, and we do not use WhatsApp message content for advertising.

5. How We Share Information

We share personal information only as needed to operate the Service:

• Service providers — cloud hosting, messaging (WhatsApp/Meta), payment processors and analytics, bound by confidentiality and data-protection obligations;
• Institutions — the school or institution on whose behalf data is processed;
• Legal & safety — where required by law, regulation, legal process, or to protect rights, safety and property;
• Business transfers — in connection with a merger, acquisition or sale of assets, subject to this Policy.

We do not sell or rent personal information to third parties.

6. Our Role with School Data

For data relating to parents, students and staff that an institution uploads or generates, the institution is the controller of that data and we act as a processor, processing it only on the institution's instructions to provide the Service. Institutions are responsible for having a lawful basis and obtaining the consents required to communicate with their contacts.

7. Data Retention

We retain personal information for as long as necessary to provide the Service, comply with legal, tax and accounting obligations, resolve disputes and enforce our agreements. When information is no longer required, we delete or anonymise it. Institutions may request deletion of their data subject to applicable legal retention requirements.

8. Data Security

We implement reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse or alteration, including access controls and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your Rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and may withdraw consent where processing is based on consent. To exercise these rights, contact us using the details below. If your data was provided to us by an institution, we may direct your request to that institution.

10. Children's Information

The Service is intended for use by schools and their authorised staff, not directly by children. Where information relating to students (who may be minors) is processed, it is provided and controlled by the institution, which is responsible for obtaining any consent required from parents or guardians under applicable law.

11. Cookies

Our website may use cookies and similar technologies to operate the site, remember preferences and understand usage. You can control cookies through your browser settings; disabling them may affect some website features.

12. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised "Last updated" date, and material changes may be notified through the Service or website. Continued use of the Service after changes take effect constitutes acceptance.
